Vacancy: Invoice Clerk

 

Industry: Pharmaceutical Wholesaling

 

A reputable pharmaceutical wholesaler is seeking a detail-oriented and reliable Invoice Clerk to join its operations team. The successful candidate will play a key role in ensuring accurate invoicing, regulatory compliance, and efficient customer service within a fast-paced warehouse environment.

 

Core Duties and Responsibilities

• Invoice Generation: Capture data accurately using computer systems to generate picking slips and invoices based on approved sales orders and delivery notes.

• Verification & Reconciliation: Cross-check pricing, quantities, discounts, and additional charges against sales orders and invoices.

• Lot & Batch Tracking: Record and maintain accurate lot numbers and batch details on invoices to ensure full product traceability in line with pharmaceutical regulations.

• Discrepancy Resolution: Investigate and resolve billing discrepancies, including overcharged purchases or receipt variances, and liaise professionally with clients to correct errors.

 

Minimum Qualifications and Experience

• Grade 12 (Senior Secondary Certificate) or equivalent

• Minimum of 3 years’ relevant experience in invoicing, accounts, or a similar administrative role

• Namibian citizenship is mandatory

 

Basic Necessary Skills and Competencies

• Numerical Literacy: Ability to calculate, post, and manage basic accounting figures accurately.

• Computer Proficiency: Familiarity with invoicing systems and Microsoft Office applications (especially Excel and Outlook).

• High Attention to Detail: Essential for identifying short-dated stock, pricing discrepancies, or mismatched order documentation.

• Communication Skills: Professional email and telephone etiquette when resolving customer queries and communicating with pharmacy clients.

• Organizational Ability: Capacity to manage multiple tasks in a fast-paced warehouse environment and meet strict month-end deadlines.

• Regulatory Awareness: Understanding of Standard Operating Procedures (SOPs), confidentiality requirements, and compliance obligations within a pharmaceutical environment.
